Description:
• The candidate will provide executive support to the National Director of Go to Market Strategy and the Director of DSD Finance, as well as providing support to their teams.
• The ideal candidate would be able to work independently, be exceedingly well organized and flexible, and enjoy the challenges supporting a growing and changing organization.
• Responsibilities of this role will include setting up meetings and conference calls, preparing and distributing materials, making travel arrangements, and producing documents.
• Advanced knowledge of Excel, Word and PowerPoint are required.
• Expert level written and verbal communication skills and attention to detail are equally important.
Essential Duties:
• Heavy calendar management, requiring interaction with internal and external executives and assistants, consultants and other partners.
• Answer phones, screen/address inquiries, and/or direct incoming calls to appropriate party promptly and efficiently.
• Prepare and maintain Sales Leaders expense reports.
• Communicate and handle incoming and outgoing electronic communications for Sales Leaders.
• Review and summarize miscellaneous reports and documents; prepare background documents, and outgoing mail as necessary.
• Create and design general correspondences, memos, charts, tables, graphs, business plans, etc.
• Responsible for meeting planning (i.e. Rally support, team meeting set up).
• Arrange complex and detailed travel plans and itineraries for Sales Leaders as needed.
• Open to maintaining a flexible work schedule and to working overtime when needed.
• Other responsibilities as assigned.
Skills and Requirements:
• High school diploma required. Associates or Bachelor's degree preferred.
• The successful candidate will be a proactive planner and will have a 2-4 years experience as an executive or administrative assistant in a large organization.
• The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure; remaining flexible, proactive, resourceful and efficient; and, work with a high level of professionalism and confidentiality is crucial to this role.
• Qualifications include the ability to multi-task, manage conflicting deadlines, schedules and resources, strong verbal and communication skills and a positive, collaborative work ethic.
• Ability to work with confidential issues and information and to apply discretion and diplomacy throughout task completion.
• Advanced computer systems and applications skills (MS Office, strong Excel, advanced Powerpoint).
• Must be a proactive, polished, have a high level of detail orientation and have a professional demeanor.
